Part Time School Receptionist and Administrator (Job share)

Job Outline:
Our client is a leading independent school and are looking for 2 individuals to share this role of being the face of the school, providing receptionist duties and administrative support.

Accountable To:
The Headmasters PA and Office Manager

Job Description:
Receptionist duties include;
- Present yourself as a professional and welcoming first point of contact in representing and championing the school.
- Welcome visitors including students, parents and staff and ensure they are directed to the correct area or person.
- Answer general telephone, email and face to face enquiries in a timely manner
- Exercise complete discretion when dealing with issues confidentially and sensitively.
- Administer the daily student registration process and central absence requests
- Have knowledge of staff movements in and out of the school.

Administrative duties include;
- Provide general clerical/admin support e.g. photocopying, filing, laminating, scanning, shredding and data processing as appropriate
- Provide educational administration and organisational support
- Undertake typing, word processing and other IT based tasks as required
- Co-ordinate the end of term assembly administration
- Bulk reprographics support at key times in the school year
- Administrative support for teachers and the senior leadership team as assigned by the Heads PA and Office Manager.
- Occasional support for the production of teaching/display materials
- Supporting the other administration staff at times of peak activity

Qualifications/ Skills/ Experience:
- Excellent numeracy and literacy skills
- Experience of general clerical or administrative work
- Experience in using Microsoft Office to a high standard
- Work constructively as part of a team whilst being able to demonstrate initiative
- Able to build good working relationships with stakeholders.
- Ability to work well under pressure
- Have a calm and courteous approach
- Well-developed interpersonal skills to be able to relate to a wide range of people

- Experience at working within a school setting
- Knowledge of school policies and procedures
- Use of a management information system
- NVQ/ SVQ Customer Service Level 1-4
- NVQ/SVQ Business and Administration, Level 1-4

Working Hours:

Morning Receptionist:
8am - 1.30pm Monday to Friday and 8am - 12pm every other Saturday during term. Plus 3 weeks (the first and last two) in the summer holidays.

Afternoon Receptionist:
1.00pm - 6pm Monday to Friday and 8am - 12pm every other Saturday during term. Plus 3 weeks (the first and last two) in the summer holidays.

Salary and Conditions:

Morning Receptionist (Average of 27.57 hours per week):
➢ £10,455 per annum (including holiday pay)
Afternoon Receptionist (Average of 25.17 hours per week):
➢ £9,545 per annum (including holiday pay)

The post holder's responsibility will include promoting and safeguarding the welfare of children and young persons for whom s/he is responsible, or with whom s/he comes into contact. The post holder will be expected to adhere to and ensure compliance with the School's Child Protection Policy at all times. If, in the course of carrying out the duties of the post, the post holder becomes aware of any actual or potential risks to the safety or welfare of children in the School s/he must report any concerns to the Headmaster in his capacity as the School's Child Protection Officer.
