We are currently recruiting for our prestigious client who are based in Small Heath. They are a leading supplier to the commercial industry and are looking for an experienced PA to support the Sales Director.

Overview and Objectives of the Position:

To provide a personalised secretarial and administrative support in a well-mannered and timely manner.

Key Relationships:

* Board of Directors and Management Team
* Area Sales Manager's
* Internal and External stakeholders
* Internal Departments (Such as but limited to) Sales Office, Orders, Samples, Warehouse

Key accountabilities:

* To maintain and provide a support service for the Sales Director daily schedule, including forward planning of his workload, diary management and coordinating and collating all relevant paperwork.
* To set appointments and meetings for the Director as requested including regular one to one meetings with his/her direct reports.
* To service meetings, including preparation of meeting papers, obtaining and preparing briefing materials and presentations, and taking minutes when requested/where necessary
* Respond and advise efficiently to all electronic or verbal enquiries for the Sales Director.
* To liaise effectively with internal departments and external clients on behalf of the Sales Director.
* To advise the Sales Director of impending work deadlines for both internal and external commitments, e.g. reports, presentations, meetings, projects.
* To ensure appropriate systems and processes are developed and maintained to support effective and efficient day to day running of the Directors office.
* To be responsible for monitoring the use of the company credit card. Submitting receipted returns to the Finance Department. To submit expenses claims, both internal and external, on behalf of the Sales Director.
* To ensure all the monthly expenses from the direct reports of the Sales Directors are submitted and authorised in line with the company policy.
* To plan and implement hospitality arrangements for the Sales Director, including provision of hospitality for visitors.
* To provide a confidential and efficient filing system and database for the Sales Director.
* To organise travel and accommodation arrangements for the Sales Director and prepare itineraries.
* Preparation and collation of accurate production and sales reports, and various productivity statistics, including summarising and analysis for Directors' review.
* To execute any other duties appropriate to the grade as directed by the Sales Director.

As this is a newly created role, it is anticipated that this role will evolve over time to suit the needs of the business, there will be travel to sites on occasion with the Sales Director so flexibity is essnetial.

Qualifications, Experience and Personal Qualities:

* Demonstrable Personal Assistant experience
* Competence in the use of Microsoft Office (Word, Outlook, Excel, PowerPoint, etc).
* Ability to work under pressure, maintaining a sense of perspective.
* Accuracy and close attention to detail.
* Well organised and able to prioritise as necessary and to multitask.
* Ability to forward plan and work to deadlines within a busy environment.
* Ability to build and maintain effective relationships.
* Experience of handling a wide range of enquiries and an excellent telephone manner.
* Flexibility and a willingness to undertake varied responsibilities working alone or as part of a team.
* Discretion and confidentiality

Language Skills

* Excellent verbal and written English
* Knowledge of other languages are an advantage.

Hours Monday - Friday 8.30am - 5pm, flexibility essential
